Who we are
The Board Room is the internal operations app of The DMV Living Group, a residential real-estate team serving Washington DC, Maryland and Virginia. Only members of the DMV Living team can sign in and use it.
What Google data we access
When a team member chooses to connect their Gmail account, The Board Room asks Google for read-only access to that mailbox. The app can read email; it cannot send, delete, label or change any email. Nothing is accessed until the account owner connects it themselves.
How we use it
- To read real-estate transaction emails (for example contract dates, terms, earnest money, deadlines and changes) and fill them into the team's own deal files.
- To recognise client emails the team already sent, so the matching to-do can be ticked off.
- To summarise incoming marketing and partner emails for the team.
Email content is processed by automated tools, including AI, only to pull out these facts. We keep the facts and short supporting quotes on the deal file — not copies of whole mailboxes.
Google API Services — Limited Use
The Board Room's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. Gmail data is used only to provide the features above. It is never sold, never used for advertising, never used to train general-purpose AI models, and people read it only when needed to run the team's work, for security, or when the law requires it.
How we protect it
Gmail connection keys are stored encrypted and are never visible in the browser. Deal information is available only to signed-in DMV Living team members.
Disconnecting and deleting
You can disconnect Gmail at any time in The Board Room under Settings → My Gmail, or from your Google account at myaccount.google.com/permissions. To ask us to delete information taken from your email, write to us at the address below.
